When an Ipswich-based insurance company found themselves frustrated by mismanagement from their existing cleaning contractor, they knew it was time for a change. They contacted Vivo Clean to support them with their large office space – and we were ready to step in.

The project

The insurance company reached out to us following many issues with their existing cleaning contractor. Communication had been poor, and the management of the contract had left them unsure they could continue the working relationship.

We went out to see them the very same day so that we could better understand their needs. The visit allowed us to get to grips with the site, the client’s pain points, and the issues with the service they were receiving.  

Making our mark

Within 48 hours, we had a full quotation with the client and this was accepted just a few days later.

We took care of the full TUPE process with the existing cleaners (with no work needed from the client) and got to work setting everything up for success.

Our management team visited the site to put together a cleaning schedule and advise on cleaning related compliance issues, such as warning signs and chemical storage. We also spent time establishing the specific products and equipment required for that site - each premises is different, so we like to spend time getting to know the client and the building prior to formally taking over the contract.

The result

Within 45 days, the whole process was complete. The staff had been TUPE'd across from the previous contractor, and also received a pay rise, getting our relationship with them off on a positive note.

Just a few months into the contract the client was already thrilled with the rise in standards, communication and additional support. We now look after all of their consumables ordering, window cleaning and gutter cleaning as well.
